Where it makes sense, a workflow can use or compare more than one AI approach for a task. That can provide another point of review and help surface differences. It does not guarantee an error-free result, so the right validation and quality checks remain part of the design.

When AI-assisted processing is included, it operates within a defined workflow and Polar Imaging’s controlled production environment. Your project requirements determine the processing steps, access controls, review approach and deliverables.
Our AI-assisted processing follows these principles:
- Client information is used for the specific processing task and is not used to train AI models.
- Information is processed temporarily and is not retained in the AI processing environment after the task is complete.
- Client information and project deliverables remain yours.
- Human quality assurance remains part of the workflow where appropriate to the engagement.
- We explain how AI is used in the project and agree on review requirements with you.
The exact workflow and controls vary by engagement. We confirm them with you during project planning.

What is AI document processing?
It is the use of AI within a defined document workflow to help classify files, extract selected information, apply metadata or names, and create summaries. Polar Imaging plans and manages the workflow around the project requirements.
Can you process scanned and digital documents?
Yes. Workflows can include scanned paper records and existing digital files such as PDFs. Source quality and document structure affect what can be extracted, so we assess a sample before recommending an approach.
Does AI replace OCR or document scanning?
No. OCR makes text within an image searchable and available for processing. AI can use that text, along with document context, to help classify content or extract information. Paper records still need to be digitized before they can be processed this way.
Does AI make mistakes?
AI outputs can be incomplete or incorrect. We test the workflow on an agreed sample and plan validation and quality assurance steps for the project. Comparing outputs from more than one approach can add a check in selected workflows, but it does not guarantee accuracy.
Is every project processed with AI?
No. We use AI only when it fits the task and provides value. The approach is agreed for each engagement, and some work may use conventional OCR, established indexing methods or no AI.
Is our information used to train AI models?
No. Client information processed through Polar Imaging’s AI-assisted workflows is not used to train AI models.
Is our information kept after processing?
Information is processed temporarily and is not retained in the AI processing environment after the processing task is complete. Project retention and delivery requirements are confirmed as part of the engagement.
Can we choose what information is extracted?
Yes. We work with you to define the document types, fields, naming conventions, validation and output format needed for the project.
