How the estimate works

How many pages are in a standard banker box?

A standard 12 × 15 × 10 inch banker box typically contains approximately 2,000 to 2,500 pages when full. Folders, tabs, dividers, and empty space reduce the number of pages in a box.

How are filing inches calculated?

Polar Imaging uses 15 linear filing inches as the equivalent of one standard banker box. This produces a preliminary range of approximately 133 to 167 pages per filing inch.

Does the calculator estimate project cost?

No. Document volume is one part of a scanning project. Preparation, document separation, indexing, OCR, file naming, special media, pickup, delivery, security, and the destination system can all affect project pricing.

What is the difference between pages and images?

A physical sheet may produce one image when it is single-sided or two images when both sides contain information. Microfilm and microfiche are estimated by frames. Polar Imaging will confirm the expected billable image count during project discovery or a proof of concept.

How to measure your records

Boxes

Count the boxes and note their dimensions. For partially filled boxes, select the closest fill level. Keep different box sizes separate.

Shelves and cabinets

Measure only the filing space occupied by documents. For better accuracy, use linear inches instead of the number of cabinets.

Special media

Count oversized drawings, microfiche sheets, and microfilm rolls separately. Note the film type and roll length when they are known.
