Give people a clearer way to work with records

When business documents are spread across cabinets, shared folders and separate systems, people spend time tracking down the information they need and checking whether they have the right version.

DocuHub provides a structured place to organize business documents and related information. Polar Imaging works with your team to define how records should be indexed, who needs access, and how information should move through day-to-day work.

Capabilities selected for the way your team works

Start with the records and decisions that matter. We confirm the configuration, integrations and controls during discovery.

01

Find the right document

Use agreed indexing and search fields to locate records without relying on inconsistent folder names.

02

Set appropriate access

Plan permissions around the users, teams and information categories that need to be separated.

03

Track changes and versions

Use version and activity history where needed to understand document updates and user actions.

04

Support records practices

Map retention and review requirements to your organization’s policies and operating procedures.

05

Connect capture and forms

Consider capture and e-forms where they reduce repeated entry or help move information into the right process.

06

Link information to work

Assess workflow and integrations against the systems your staff already use and the work they need to complete.

A guided implementation

Move from scattered files to a workable structure

The plan starts with your records, users and existing tools. Scope and delivery timing are confirmed before implementation.

Understand the records

Identify the document types, where they live, who uses them and what is difficult today.

Design the structure

Agree on indexing, access, retention, search and the initial priority area.

Configure and prepare

Set up the agreed repository and workflow, then prepare any content or integrations in scope.

Roll out and refine

Introduce the system to users, review how it works in practice and plan any next phase.

Start with a useful first step: a discovery conversation can clarify fit, required decisions and whether a focused first phase makes sense.
Choose the right operating model

Cloud access or an on-site environment?

The right approach depends on your access needs, IT environment, policies and existing systems. Polar Imaging can help compare the options before you commit to a configuration.

On-Site Document Management

Consider an on-site approach when your organization wants the system deployed in its own environment or has specific infrastructure requirements to assess.

  • Review infrastructure and administration
  • Map access and information requirements
  • Confirm support and integration needs
Designed around your controls

Make access and responsibility clear

Permissions, retention, hosting, backup and recovery responsibilities depend on the selected environment and configuration. We review these requirements with your team and document what is included before implementation.

Common questions

Cloud DocuHub FAQs

Does DocuHub replace Microsoft 365 or SharePoint?

Not necessarily. The role of DocuHub depends on your document types, information controls and existing tools. During discovery, we can assess how it may complement Microsoft 365, SharePoint or other systems.

Can we begin with one department or record type?

A focused first phase may be possible. We will confirm the best starting point based on the records, users, dependencies and implementation requirements.

Can existing paper records be added?

Yes. Existing records can be scanned and prepared for the agreed structure. The scanning method, indexing and volume are scoped as part of the project.

How do you determine security and retention settings?

We review your user groups, policies and handling requirements. The final controls and responsibilities are confirmed for the selected hosting model and configuration before rollout.

Can DocuHub connect with our existing business systems?

Potential integrations are assessed against your systems and process. We confirm supported options, technical requirements and any implementation work during discovery.
